OBM vs VA: Which One Does Your Business Actually Need?

I see this confusion all the time—especially in the wedding industry.
You’re overwhelmed. You know you need help. So you do a quick Google search, and you’re met with a sea of acronyms: VA. OBM. EA. PM. And suddenly hiring support feels more like decoding a secret language.
Let me simplify it.
If you’re wondering whether you need a Virtual Assistant (VA) or an Online Business Manager (OBM), here’s what you need to know—without the fluff.

Let’s Start with the VA: Your Doer
A VA is your behind-the-scenes helper. They handle tasks. Think inbox management, social media scheduling, uploading blog posts, client follow-up emails, and all the other things you’d rather not be doing at 10pm.
They thrive on checklists.
If you know what needs to be done and just don’t have time to do it, a VA is your go-to. But you need to be ready to assign work, give direction, and (at least for now) still steer the ship.
TL;DR: A VA helps you execute your plan.
Now the OBM: Your Strategist + Manager
An OBM, on the other hand, is a strategic partner. We come in, look at your entire business, and figure out what’s working, what’s not, and how we can make everything more efficient, profitable, and scalable.
We don’t just do tasks—we build systems and manage people so you don’t have to.
For example, I’ve helped wedding planners:
Move from scattered sticky notes to automated CRMs
Standardize onboarding so no client slips through the cracks
Manage teams, freelancers, and vendor communication
Track payments and project timelines without stress
Identify where money’s leaking—and plug the gaps
TL;DR: An OBM helps you run and grow your business.

“So… Which One Do I Need?”
Ask yourself these 3 questions:
Do I already have systems in place, I just need help keeping up with them?→ You probably need a VA.
Am I drowning in decisions, not even sure what needs to be done, or how to delegate it?→ You need an OBM to help you get organized and take over operations.
Do I need help doing AND managing?→ Start with an OBM—we can often bring in or manage VAs for you.

Here’s What No One Tells You:
Hiring a VA when what you really need is an OBM is a common (and costly) mistake.
You end up spending more time explaining what to do, reviewing tasks, fixing mistakes—and wondering why you still feel stuck.
When you hire an OBM, you get your brain back. You stop being the bottleneck. You finally feel like a CEO instead of a glorified task manager.
And no, you don’t have to “wait until you’re bigger.” I work with solo wedding pros all the time. Sometimes the reason you're not growing is because you're trying to do it all alone.
If this post made you pause and think “...oh,” we should talk.
Fill out the contact form and let’s figure out what support would actually change your day-to-day.
Spoiler alert: it might not be another course.
