5 Dubsado Workflows Every Wedding Pro Should Have

If I had a dollar for every time a wedding pro told me they have Dubsado but “haven’t really set it up yet,” I could buy myself a custom neon sign that says “Automate it, babe.”


Because here’s the thing: Dubsado isn’t just a fancy CRM with a pretty dashboard. It’s your second brain. And when set up right, it can take hours of repetitive admin off your plate—and elevate your client experience at the same time.


So if you’re a wedding planner, designer, coordinator (or anything in between), these are the five workflows I build over and over again for my clients. They’re simple. They’re powerful. And they’ll change the way you work.

1. Inquiry Workflow


What it does: Responds to leads immediately—even while you’re sleeping.


The moment someone fills out your contact form, they get a warm, branded email saying “Thanks for reaching out! Here’s what happens next.” Maybe a scheduler link. Maybe a brochure. But definitely not silence.


Why it matters: First impressions are everything. You want to look polished and responsive without living in your inbox.

2. Booking Workflow


What it does: Sends your proposal, contract, and invoice in a clean bundle. Then follows up automatically if they ghost.


I usually build this to trigger manually (so you can choose the right package), but once you send it, Dubsado takes care of the rest—payment reminders, contract follow-ups, and a nice little “Welcome, you’re booked!” moment.


Why it matters: No more chasing people down. You look professional, and the money lands in your account faster.

3. Onboarding Workflow


What it does: Sends a welcome email, onboarding questionnaire, client portal link, and even a “how this works” guide—without you lifting a finger.


Pro tip: Add a scheduler here for your first planning call, and include prep questions. You’ll get better answers and more productive meetings.

4. Ongoing Check-Ins / Project Milestones


What it does: Sends monthly or milestone-based check-ins to keep your clients in the loop and make sure you don’t forget important dates (like “Order Invitations” or “Send Seating Chart”).


Some planners like to trigger this manually. Others prefer it fully automated with smart date math. Either works.


Why it matters: Keeps communication flowing without you needing to remember every tiny detail. You become the planner who’s “always on top of it.”

5. Offboarding Workflow


What it does: Sends a thank-you message, final invoice (if needed), links to leave a review, and a request to share photos or testimonials.


You can even include a post-wedding checklist (“Don’t forget to preserve your gown!”) or a referral discount for friends.


Why it matters: Most people forget this part. But a strong finish creates raving fans and repeat clients—especially when they’re referring you to all their newly engaged friends.
